DATA PRIVACY POLICY

POPIA, Protection of Personal Information Act seeks to promote the protection of personal information that is processed by private and public entities.  Square Plan Jhb cc t/a Square Plan ensures that the processing of information is done lawfully and in a reasonable way that does not infringe the rights of the data subject. The data subject being all persons visiting for business, personal or for employment; any known or unknown person being contacted via telephonic or electronic means; any visitors to its websites, showrooms, order pages.

Company Overview

Square Plan main business is Wholesale of Household Components & Products

Company data can only be accessed on the company server. This information is protected by anti-virus and has firewall solution.

We do not use the services of an external IT manager(s)

 We revoke employees physical and digital sharing of the information on our server with a Confidentiality Clause as part of our Letter of Appointment.

 Any data no longer in use is deleted directly off the server

Any hard copy of data no longer in use is shredded onsite and is disposed of

The Data Subject Rights:

Access to information

You have the right to request a copy of the personal information we hold about you. To do this, simply contact us in writing and specify what information you require. 

 Correction of your information

You have the right to ask us to update, correct or delete your personal information. We would appreciate it if you would keep your personal information accurate.

 Right to Object

The Data subject has the right to object that his/her/their information is processed and/or stored. On receipt of written objection, Square Plan will place an hold on any further processing and comply with the objection.

 CCTV Live Viewing and Recorded Footage

This policy hereby notifies all data subjects that they have the right to know how, why and who accesses this CCTV Live Viewing and Recorded Footage.

Live viewing is available to all staff for the sake of security. Recordings are only downloaded when necessitated for example a security breach etc.

CCTV recording is re-written, thereby destroyed, therefore this data cannot be inadvertently corrupted or copied.

 Visitors to the Company and Website Visitors

Visitors to the company premises are not required to furnish any personal details

Website Visitors are not required to furnish any personal details.

Once the visitor becomes a Customer or Supplier, some he/she/they become a data subject and some personal details will be processed to facilitate the relevant transaction

Customer & Supplier Information collected will be :

Business name                                                                        –  to correctly invoice

Contact Number and Contact email Address      – to correctly correspond with

Business Address                                                                  – to correctly deliver/collect goods

Installer Status                                                                        – to ascertain business category

Any other pertinent information

Any and all information is processed and is Stored on the company server which is only accessible to the Office Personnel for the purpose of potential Sales, on-going Sales or the Buying function, all of which is necessary to the business.

No Personal information collected is shared with any third party
